Who operates the service
Interns.news is operated by WeldonPC. Weldon Hastings is the initial platform, support and privacy contact. Contact privacy@interns.news or weldon@weldonpc.com. Include your institution and request type; use the authenticated workspace for student documents.
Information used to run a program
We process account and contact details, institution and employer memberships, student profiles, program and placement records, submitted documents, hours, evaluations, messages, and approval history. Institutions decide which program records they are authorized to provide. Security and operational records can include IP addresses, browser information, sign-in activity and timestamps. The current workspace records submitted time entries; it does not collect GPS clock-in coordinates.
Purpose and access
We use program information to provide the institution-authorized service, support its users, maintain security and produce its reports. Access follows current institution, department, business and placement permissions. Employers receive only the records made available to their authorized workflows. We do not sell student information, use education records to target advertising, or disclose them for unrelated marketing.
Hosting, backup and email infrastructure process information needed to deliver the service. We may disclose information when required by applicable law and will handle such requests through the institution where permitted. Institutions can request the current service-provider inventory before onboarding.
Institution authorization and students
Enrollment is led by the institution through approved invitations. Before real student intake, the institution must establish its authority to share records and approve the service/data agreement and program process. Where the institution relies on the FERPA school-official exception, the written arrangement must define its control of the records and our permitted use. A public privacy policy alone does not establish that relationship.
The current service is offered for institution-managed participants aged 13 and older. Institutions must confirm eligibility and any required parent, guardian or eligible-student permissions. Under-13 participation is not supported in this release. Report an incorrectly enrolled participant promptly so we can restrict access and coordinate the appropriate response. The platform records evidence and approvals; it does not certify legal compliance or perform background checks.
Security
Protections include HTTPS, password hashing, role and tenant access controls, private document storage, access records, and multi-factor authentication for privileged accounts. Dates of birth are encrypted in the application database. We do not claim that every field, file or backup is individually encrypted at rest. No system is immune to security incidents; report suspected access or disclosure problems to privacy@interns.news.
Retention, export and deletion
Institution records are retained under the written service/data arrangement and the institution’s documented instructions, including applicable recordkeeping and legal holds. The current workspace provides authorized reports and exports. Requests for a complete institutional export, account closure, correction or deletion are handled through support after identity and authority checks. Institutions do not currently configure automatic retention or deletion in the application.
Before onboarding, the parties must document the retention period, exit/export window, deletion scope and backup expiry handling. There is no universal automatic 90-day deletion promise. Backup copies follow the documented backup rotation and any applicable hold; a recovery must reapply completed deletion instructions before records return to service.
Cookies and public advertising
Session, security and optional remembered-device cookies support sign-in. The optional remembered-device period is 45 days and can be revoked in account security settings.
Selected public marketing pages display labeled AdEngine.us advertisements. Loading or clicking a banner shares the IP address, browser information and request details needed for delivery and impression/click measurement. The integration does not send student records, account or institution identifiers, or contact-form contents. Banners are excluded from signed-in workspaces, account forms, contact pages and legal pages. The AdEngine tag does not set advertising cookies.
Requests and changes
Students and families should contact their institution for decisions about education records. We help the authorized institution handle access, correction, export and deletion requests. Contact our privacy address if you cannot reach your institution or believe an account is compromised. We may need to verify identity without collecting unnecessary information.
We publish a dated policy version when these practices change and handle material changes under the institution’s written agreement. The applicable signed institutional agreement controls where it provides more specific protections.
